From Signup to First Approval in Under 15 Minutes

You signed up for a client portal. Now what?

Most tools hit you with a 30-minute onboarding video and a "book a demo" button. Here's what it actually looks like to go from zero to your first approved request in EasyRequests. No demo call required.

Step 1: Create a workspace for your client

Every client gets their own workspace. Think of it as a folder, but with its own forms, approval chain, branding, and access controls.

Pick a template that matches the workflow. Expense reimbursement, vendor bill approval, document request, client onboarding — or start from scratch. Name it after your client and you're in.

One workspace per client means nothing bleeds together. Client A never sees Client B's requests, documents, or approvals.

Step 2: Make it yours

Head to Branding in your workspace settings. Add your firm's name, logo, and colors. When your client opens the portal, they see your brand. Not ours.

This takes about 30 seconds, but it matters. Clients trust a portal that looks like it belongs to your firm.

Step 3: Set up the request form

This is where you decide what your client actually submits. Drag and drop the fields you need:

  • File uploads for receipts, bank statements, tax docs
  • Text fields for descriptions, notes, vendor names
  • Date fields for invoice dates, due dates
  • Dropdown selectors for categories, departments
  • Sensitive fields for SSNs, EINs, bank account numbers (AES-256 encrypted, masked on screen)

No code. No conditional logic puzzles. Just pick the fields, arrange them, done.

Step 4: Build the approval chain

Open the visual approval chain editor. Drag approvers into the flow. Set the order. That's it.

Want one person to review everything? Single node. Need a two-step process where a bookkeeper reviews first, then the client's CFO signs off? Two nodes, connected. Need to add an auto-reminder if someone sits on a request for 48 hours? Toggle it on.

The chain is visual. You can see exactly who reviews what, in what order, before a single request comes in.

Step 5: Invite your client

Go to the Team section. Click "Invite people." Set their permission to "Can submit requests only."

They get an email, click the link, and land directly in the portal. They can submit requests and track status. They can't see other workspaces, can't approve, can't access settings. Just a clean submit form and a status tracker.

If you'd rather skip the invite entirely, share the public intake link instead. No login required on their end.

Step 6: They submit. You approve.

Your client fills out the form, attaches their documents, and hits submit. The request shows up in your dashboard with everything structured and labeled.

If you've connected Slack, you get a notification there too. Open the request, review the attachments, and approve or reject with one click. Add a comment if something's missing, and they'll see it on their tracking page.

Every action is logged. Who submitted, who approved, when, what changed. Full audit trail, no screenshots of email threads required.

That's the whole loop

Signup. Workspace. Form. Approval chain. Invite. Submit. Approve.

No spreadsheet. No email chain. No "can you resend that PDF." No chasing.

One price covers all your clients. Not per-seat, not per-workspace on our paid plans. Your firm with 5 clients pays the same as your firm with 50.
