Terms of Service

Last updated: February 27, 2026

These Terms of Service ("Terms") govern your access to and use of the EasyRequests platform ("Service"), operated by Webkraft Studio, LLC, a Delaware limited liability company doing business as EasyRequests ("we," "our," or "us").

Please read these Terms carefully. By creating an account or using the Service, you agree to be bound by these Terms. If you do not agree, do not use the Service.

Description of Service

EasyRequests is an approval workflow platform that allows organizations to create, manage, and track approval requests through configurable forms, visual approval chains, and integrations. The Service includes web applications hosted at easyrequests.com and its subdomains, APIs, and third-party integrations (such as Slack and Zapier).

Accounts

When creating an account, you agree to provide accurate and complete information and to keep it up to date. You are responsible for maintaining the confidentiality of your account credentials and for all activity that occurs under your account. You must notify us immediately at [email protected] if you become aware of any unauthorized access to your account.

One person or legal entity may not maintain more than one free-tier account. If we discover duplicate free accounts created to circumvent plan limits, we reserve the right to suspend or terminate the duplicates without notice.

You may authenticate using Google or Microsoft social login via Auth0. By doing so, you authorize us to access your name, email address, and profile picture from the identity provider.

Subscription Plans and Billing

The Service offers Free, Starter, and Growth subscription plans. Plan features, limits, and pricing are described on our pricing page at easyrequests.com. Key plan limits include the number of workspaces, monthly requests, file storage, team members, and access to specific features.

Paid subscriptions are billed monthly or annually through Stripe. Annual plans include a discount equivalent to two months free. All fees are non-refundable except as required by applicable law.

You may upgrade your plan at any time, and the new plan takes effect immediately. You may downgrade your plan at any time, and the downgrade takes effect at the end of your current billing period. When you downgrade, features or capacity that exceed your new plan's limits will become inaccessible but your data will not be deleted.

We reserve the right to modify pricing with at least 30 days' prior written notice. Price changes will take effect at the start of your next billing period following the notice. If you do not agree with a price change, you may cancel your subscription before it takes effect.

If a payment fails, we will notify you and provide a reasonable grace period to update your payment method. If payment is not resolved, we may downgrade your account to the Free plan.

Fair Use and Abuse Prevention

Plans described as "unlimited" (such as unlimited workspaces on the Growth plan) are subject to a fair use policy. The Service is designed for normal business use by bookkeeping firms, accounting practices, and small-to-medium teams. "Unlimited" means we do not impose a hard numerical cap for typical business usage — it does not mean infinite or unrestricted.

We consider the following to be abuse or excessive use:

  • Creating workspaces, requests, or submissions programmatically at a volume that materially degrades the Service for other users
  • Using the Service as a general-purpose data storage platform, file hosting service, or database rather than for its intended approval workflow purpose
  • Reselling, white-labeling, or sublicensing access to the Service to third parties without our prior written consent
  • Systematically creating and deleting workspaces or organizations to circumvent usage tracking or billing
  • Using the API or integrations (Zapier, webhooks) to generate request volumes that are disproportionate to the size of your organization or client base
  • Operating automated bots, scripts, or crawlers against the Service beyond reasonable integration use
  • Using a single organization account to serve multiple unrelated businesses (each business should have its own organization)

If we determine that your usage constitutes abuse, we will contact you first and attempt to resolve the situation. If the issue is not resolved within a reasonable timeframe, we reserve the right to throttle your usage, suspend access to specific features, or terminate your account. We will provide at least 14 days' written notice before any termination for abuse, except where immediate action is required to protect the Service or other users.

Acceptable Use

You agree not to:

  • Use the Service for any purpose that is illegal under applicable law
  • Submit or transmit content that infringes on the intellectual property rights of others
  • Transmit malware, viruses, or any other malicious code through the Service
  • Attempt to gain unauthorized access to the Service, other users' accounts, or our infrastructure
  • Interfere with, disrupt, or place an unreasonable burden on the Service or its underlying systems
  • Use the Service to send unsolicited messages, spam, or phishing content
  • Scrape, data-mine, or extract data from the Service by automated means except through our published API
  • Use the Service to collect sensitive personal information (such as Tax IDs or financial data) without a lawful basis and appropriate safeguards for doing so
  • Circumvent or attempt to circumvent any plan limits, access controls, or security measures
  • Impersonate another person or entity, or misrepresent your affiliation with a person or entity

Anonymous Submissions and Public Intake Forms

The Service allows workspace administrators to create public intake forms that can be filled out by individuals without an account ("anonymous submitters"). Workspace administrators are responsible for ensuring that the data they collect through these forms complies with applicable data protection laws. If you collect personal data from individuals in the EU/EEA, you are responsible for providing appropriate privacy notices and obtaining any necessary consent.

We provide features such as encrypted sensitive fields and masked display to help you protect the data you collect, but the decision of what data to collect and how to use it remains your responsibility.

Data Ownership and License

You retain all rights to the data and content you submit to the Service ("Your Content"). We do not claim ownership of Your Content.

You grant us a limited, worldwide, non-exclusive, royalty-free license to host, store, process, display, and transmit Your Content solely as necessary to provide and improve the Service. This license terminates when you delete Your Content or your account.

We may generate anonymized and aggregated statistics about Service usage (such as total number of requests processed, average approval times, or feature adoption rates). These statistics will never identify you, your organization, or any individual. We may use such statistics to improve the Service, for marketing, or for research purposes.

Intellectual Property

The Service, including its design, code, features, documentation, and branding (excluding Your Content), is the property of Webkraft Studio, LLC and is protected by intellectual property laws. You may not copy, modify, distribute, sell, or lease any part of the Service, nor may you reverse-engineer or attempt to extract the source code.

Integrations and Third-Party Services

The Service integrates with third-party platforms including Slack, Zapier, and others. Your use of these integrations is subject to the respective third party's terms of service. We are not responsible for the availability, accuracy, or practices of third-party services. When you enable an integration, you authorize us to share relevant request data with the connected third-party service as necessary for the integration to function.

API Access

The Service provides a REST API for programmatic access. API usage is subject to rate limits which may vary by plan. We reserve the right to throttle or suspend API access that negatively impacts the Service. API keys are confidential — you are responsible for keeping them secure and are liable for any actions taken using your API keys.

Termination

You may delete your organization or cancel your account at any time from within the Service. Upon organization deletion, your Stripe subscription (if any) is immediately cancelled.

We may suspend or terminate your account if you materially violate these Terms. Except where immediate action is needed to protect the Service or comply with legal obligations, we will provide written notice and a reasonable opportunity to cure the violation before termination.

Upon organization deletion, there is a 30-day grace period during which you may contact us to reverse the deletion. After 30 days, all organization data is permanently and irreversibly deleted, including workspaces, requests, comments, attachments, and member records.

Upon account deletion, your personally identifiable information is anonymized. Requests and approval records you created remain in the system with anonymized authorship for audit trail integrity.

Indemnification

You agree to indemnify, defend, and hold harmless Webkraft Studio, LLC and its officers, employees, and agents from any claims, damages, losses, or expenses (including reasonable attorney's fees) arising out of (a) your use of the Service, (b) your violation of these Terms, (c) your violation of any applicable law or regulation, or (d) content you submit through the Service that infringes on the rights of a third party.

Governing Law and Disputes

Your continued use of the Service after the effective date constitutes acceptance of the updated Terms. If you do not agree with the changes, you may cancel your account before the effective date.
